Welcome to Germany, welcome to Fulda!

We are pleased that you have decided to study at Fulda University and that you have been accepted for admission. You now need to enrol. The following paragraphs provide the most important information about this process.

Do you plan to arrive in Fulda just a few days before lectures start and feel uncertain about the administrative steps to take? No need to worry. Each semester the International Office organises a special orientation week for new international students at Fulda University. Our student mentors will guide you through all the steps to enrolment. Enrolment for international students already living in Germany

If you have already rented a room in Fulda and completed all administrative formalities – registering at the local citizens’ office, opening a bank account and taking out student health insurance, you are ready to start the enrolment process.

1. Appointments

Enrolment will take place at the International Office (Student Service Centre, 2nd floor, room 202) - probably on the following dates and times.

  • From 13 February to 31 March 2017
    Every Tuesday 9.00 -12.00
  • From 1 April onwards
    From Monday to Friday 9.00 -12.00
    Please note: 14 April and 17 April 2017 are public holidays and the University will be closed.

2. Documents

You will need to bring the following documents with you:

  • Confirmation of admission/acceptance
  • Original version of all documents that you handed in with your application
  • Applicants with a conditional offer: all additional documents mentioned in the admission letter
  • Letter confirming your membership in a German statutory health insurance scheme (not your chip card). That letter is generally called "Bescheinigung zur Vorlage bei der Hochschule". (see also https://www.hs-fulda.de/internationales/international-englisch/practical-information/health-insurance/)
  • Receipt of payment of the semester fee of €286,99 (see also 3 below)

Please note that you can only enrol if all the above-mentioned original documents are presented.

3. Semester fee

We recommend paying the semester fee by debit or credit card (Maestro, MasterCard, VISA, V Pay, VISA electron) at our offices. The advantage is that you will be given your student ID card and your semester ticket1 on the same day.

If you wish to pay the semester fee by bank transfer, we would advise you to allow plenty of time. The semester ticket will only be issued if the University has received the semester fee before you enrol. Please bear in mind that a bank transfer can take up to one week (7 days).

If you do not have a German bank account/card, you can also pay the fee in cash. Please bring the exact sum as no change is available and we are not allowed to accept other amounts.

Enrolment for international students from outside Germany

Students coming to Germany for the first time need to take several very important administrative steps in order to enrol.

If you are a Master’s student, an exchange student or a scholarship holder, you have probably rented a room through the International Office. If so, please follow all the steps indicated below.

If you have found accommodation on the private market, your enrolment process will start with step 3.

Step 1: Move into your room

  • You will be given your room key and tenancy agreement on arrival - and asked to sign to confirm receipt.
  • No WiFi is available in the halls of residence in Wiesenmühlenstraße and Heinrich-von-Bibra-Platz. The International Office will gladly provide you with an internet cable in return for payment of a €10 deposit.
  • On the day of your arrival, a student mentor would be happy to show you the nearest grocery shop/supermarket.
  • Your student mentor will schedule an appointment with you shortly after your arrival. You will be able to discuss any questions that you may have and he/she will guide you through the next steps.

Step 2: The day after your arrival - information from your student mentor

  • How do I air and heat my room and what do I do with the waste?
  • How do the electronic devices in my room work?
  • Where is the nearest grocery shop/supermarket?
  • Where is the nearest bus station?
  • How do I find my way around Fulda? (Map?)
  • How do I get to the university?
  • Your student mentor will go through all the documents given you by your landlord with you. Some need to be completed, signed and returned to the landlord.
  • Your student mentor will go with you to buy a German mobile phone card. Please think about letting your student mentor have this phone number.

Step 3: Registration at the local citizens’ office

The first step is to register at the local citizens’ office (Bürgerbüro):

Please take your tenancy agreement and your passport with you.

Step 4: Open a bank account

You can open a bank account with one of several banks in Fulda, including the Deutsche Bank or the Sparkasse.

Please take your tenancy agreement, your passport and your student ID card.

Step 5: Take out health insurance

In Germany everyone must have health insurance, including students. Without health insurance you will not be allowed to enrol at the university.

  • If you are under 30, you will be required to take out a health insurance policy with a statutory health insurance scheme. Some examples are AOK, Barmer, Techniker, etc. (Student rates are approximately €90 per month)
  • If you are over 30, you will be required to take out a health insurance policy with a private insurance company. We can recommend health insurance policies with  Union/Viktoria (“Optimal”). This insurance will be accepted by the local foreigners registration office (Ausländerbehörde) when applying for a visa extension.
  • The statutory health insurance company will give you a member card. You will need this for your enrolment at the university and at the local foreigners' registration office.
  • Please make a copy of your temporary membership card and keep this copy with you until you receive your health insurance card. While you are waiting for your health insurance card to arrive, the temporary member card serves as proof that you are insured.

Please take your bank account details, your passport and your letter of acceptance for admission to Fulda University with you.

Special note for exchange students holding a European Health Insurance Card from their home country: You do not need to take out German health insurance. You can enrol with your foreign EHIC.

Step 6: Enrolment at the International Office

1. Appointments

Enrolment will take place in the International Office (Student Service Centre, 2nd floor, room 202) and will probably be possible on the following dates and times.

  • From February 13 to March 31, 2017:
    Every Tuesday from 9-12 a. m.

  • From April 1 on:
    From Monday to Friday from 9-12 a.m.

    Please note: April 14 and April 17, 2017 are public holidays and the University will be closed.

  • Notification of admission/acceptance
  • Original version of all documents your handed in with your application (does not apply for exchange students)
  • In case of conditional admission: all additional documents mentioned in the admission letter (does not apply for exchange students)
  • Confirmation letter for enrolment from a German statutory health insurance (not your chip card). It is generally called "Bescheinigung zur Vorlage bei der Hochschule". (see also step 3)
  • Receipt of payment of the semester student fees of exactly €286,99 / €236,99 for students from partner universities (see also 3. Semester fee)

Please be aware that your enrolment is only possible if all the above-mentioned original documents are presented.

3. Semester fee

We recommend paying in the semester fee by debit or credit card (Maestro, MasterCard, VISA, V Pay, VISA electron) directly in our office. The advantage is that you will receive your student ID-card and your semester ticket (1) on the same day.

If you wish to transfer the semester fee, we would advise you to transfer the fee in good time. The semester ticket will only be handed over to you if the semester fee has been received by the university before the enrolment. Please bear in mind that a bank transfer might take one week (7 days).
