Apply for degree documents

Congratulations to you! You have successfully completed your university studies.

You can apply for your degree documents as soon as all the required social services: benefits have been recorded in horstl (Bachelor's degree - 180 / 210 ECTS credits; Master's degree - 90 / 120 ECTS credits and, if applicable, 30 ECTS additional requirement modules). As you can still take additional examinations after your degree, the degree documents are not created automatically. Therefore, please apply for your documents independently in the horstl system.

Your graduation documents comprise:

  • Certificate: awards the academic degree.
  • Final Transcript: Allocates overall grade, module grades, ECTS credits earned, thesis title and graduation date.
  • Diploma Supplement: Contains details/contents of the study programme for international transparency and comparability.

Necessary steps for receiving the degree documents

1. check your personal data in horstl

Check in horstl in advance whether your personal data such as name, date of birth and address are correct. Confirm the accuracy of this information when you apply for your documents. If you discover errors after receiving your documents, it will cost 55 euros to recreate them in accordance with the administrative cost regulations. A careful preliminary check prevents incorrect degree documents from being sent.

2. actively apply for degree documents in horstl

Since 6 January 2025, signal checks have been introduced as part of the application for degree documents. The purpose of these examinations is to ensure the smooth expiration of your final documents.

What are signal checks?
Signal checks are an additional step to ensure that all relevant evidence of achievement and formalities have been properly completed.

How does the process work?

  1. Log in to your student portal.
  2. Make sure that all your social services: benefits are correctly recorded.
  3. Register the signal examinations in horstl.
     

3. check emails

You will receive information on the processing status of your degree documents by email. This also applies if any clarifications are required before they are created. You should therefore check your inbox regularly to find out the current status.

4. certification of the final documents

Once you submit your request, the Student Administration Office normally takes up to four weeks to prepare your final documents and forward them to the Dean and the President. After this process is complete, you can collect your documents directly from the Student Administration Office. 

Should you prefer to have the documents sent by post, we will promptly authorise shipment after receiving your request. Please be aware that shipping will only occur once the relevant fees have been received. The costs are 4.25 euros for domestic shipping within Germany and 7.20 euros for international shipping. You can set up a direct debit to cover these fees in horstl

Please note: There may be delays around the end of the semester due to the high volume of administrative tasks.

Frequently asked questions (FAQ)

  • Carefully check whether you have successfully completed all credit points. Compare your current social services: benefits with the module handbook or the examination regulations.
  • Check whether all social services: benefits are correctly recorded and assigned, e.g. specialisations and compulsory elective modules.
  • Check whether additional achievements are available and listed in full.

  • If grades are missing or incomplete, please contact the examiners directly.

  • If the problem still passes after checking the steps, please contact horstl(at)hs-fulda.de.

  • If you complete your last social services: benefits by 31 March/30 September, you do not need to re-register for the next semester. Your last social services: benefits count!

  • You can be enrolled in the semester in which your degree documents are issued to you.
  • If you completed your last social services: benefits in the winter semester (by 31 March), you can still re-register for the summer semester, as you will not receive your degree documents until 1 April. The same applies to the transition from the summer to the winter semester.

  • If you have re-registered for another semester in accordance with §64 HessHG, there will be no refund of the semester fee(s).

  • No, no semesters are listed in the degree documents. The number of semesters only appears in the exmatriculation and academic progress report. You can find a sample template of the graduation documents in the General Provisions of our university.

  • In the Federal Republic of Germany, an official certification of a photocopy can be carried out by the public authorities listed below: Municipal administrations, districts and lower administrative authorities, e.g. local mayors and local heads, city administrations (town hall), district administrations; also by courts, notaries.
  • Official notarisations may not be carried out by the following bodies: Welfare organisations, church facilities (e.g. parish offices), interpreters, health insurance providers, banks, savings banks, associations, the AStA, etc., even if certification permission has been granted in another federal state.
  • Of course, you can also have your degree documentsnotarised at our Student Administration Office. Notarisation costs 5 euros per final document according to the administrative cost regulations. Please note that we can only notarise documents that have been issued by us.
  • Notarisations are possible at any time - please bring your original documents with you!
  • You can pay the fees for notarisation by debit card at the information point.

  • If you lose your degree documents, please use our Student Administration Office and apply for a duplicate. A duplicate costs 55 euros per graduation document according to the administrative cost regulations. You then fill in the insurance and pay the amount.
  • The fees for the duplicate must be paid by bank transfer.

  • No, you will not receive a provisional final transcript separately. Please use your certificate of achievement from horstl and the certificates that are available to you in horstl.

  • You can take and complete language courses etc..., but these will not be included in your degree documents after the termination of your university studies.
  • By applying for your degree documents, you confirm the completion of your university studies. The degree documents are created and the study programme is officially terminated.
  • Additional achievements that you acquire in the subsequent semester after your degree documents have been issued will be listed in a separate certificate of achievement. This certificate is not an attachment to the degree documents.

  • The degree documents are printed on tamper-proof paper. For your and our protection, it contains a watermark and copy protection with the word "Copy" in A5 size.
  • As soon as the paper is exposed to light, such as when scanning or photocopying, the anti-counterfeiting protection is activated and the copy shows "Copy". This protects your original documents from misuse.
