Interlibrary loan

Interlibrary loans are a service provided by the library to enable you to order literature not available locally from other libraries for teaching, research, training and continuing education.

To be able to place an interlibrary loan order, you need an interlibrary loan account. We will be happy to set this up for you on presentation of your library card at one of the service desks during our service hours.

What can be ordered?

In principle, any type of literature can be ordered. However, please note that all orders are processed on the basis of the interlibrary loan regulations.

Where and how can I order?

You can place an interlibrary loan request at any time via our FILIP search portal or the HeBIS portal. If you cannot find the literature you are looking for, you can place a "free order" directly via the HeBIS portal.

Where do you collect your ordered literature?

You can collect your ordered item from the service desk at the location where your interlibrary loan account is set up.

If you have entered an email address, you will receive a notification as soon as the item is ready for you to collect or view.

Photocopiers ordered via interlibrary loan will be sent to the email address you entered via a download link.

How long is the lending period?

The lending period is generally four weeks. The lending library may restrict use to the reading room and prohibit copying.

Articles are usually supplied as photocopiers and do not have to be returned.

The lending period for your interlibrary loan item begins as soon as it arrives at the HLB!

Who can order and what does an order cost?

Conditions

You will grade:

  • an HLB Fulda library card
  • an interlibrary loan account, which you can have set up at one of the service desks

Costs

Within Germany, 1 interlibrary loan order costs €2.00 administrative charge. For this you can order 1 book/medium or 1 copy of an article up to 20 pages.
In the rare cases in which your order request cannot be processed positively, the fees cannot be refunded.

Additional costs may be incurred in individual cases, e.g.

  • for an essay with more than 20 pages
  • if delivery is only possible as a reproduction or as microfilm
  • if value insurance is necessary

Additional costs are incurred retrospectively and therefore cannot be charged to your interlibrary loan account.

The costs are based on

  • the Administrative Cost Regulations for the Ministry of Research and the Arts (VwKostO-MWK) and
  • the General Administrative Cost Regulations (AllgVwKostO) of the State of Hesse

How do I pay the interlibrary loan fee?

The interlibrary loan fee must be paid via our automatic pay stations during service hours before placing an interlibrary loan order. Please bring the deposit receipt to one of our service desks so that we can enter the amount in your interlibrary loan account.

Alternatively, you can send an email to fernleihe(at)hlb.hs-fulda.de and let us know the amount you wish to deposit (a multiple of 2.00 euros). You will then receive an invoice as an email attachment. After we have been informed of the receipt of payment by the Financial Management division of the university, the amount will be credited to your interlibrary loan account. Please allow approx. 5 days for this procedure.

These procedures do not apply to full-time employees of the Fulda University of Applied Sciences. Full-time employees should register for all interlibrary loan matters at the service desk at the campus location during service hours.

How do you extend interlibrary loans?

Please apply for an extension at least 3-4 days before the lending period expires, stating the order number (see check-out receipt) at the service desk. The extension is subject to the approval of the lending library.
Extensions are not possible via FILIP.

If the lending period is exceeded, a reminder will be sent for a fee.

Legal information

The basic rules for interlibrary loan in Germany are laid down in the Interlibrary Loan Regulations of the Federal Republic of Germany.

Compliance with the Copyright Act (UrhG) must be observed.

You no longer grade your interlibrary loan account?

You can have the account cancelled:

  • If you still have a credit balance on your interlibrary loan account, please fill in the form. The credit will be transferred to your account and the interlibrary loan account will be cancelled.
  • If you have no credit on your account, please send an email to fernleihe(at)hlb.hs-fulda.de so that we can delete your interlibrary loan account.

Document delivery services

As an alternative to interlibrary loans, there are document delivery services from which you can order and have both books and photocopiers delivered directly to your desired address.

Please note that all the delivery services listed below are subject to a fee.

As a rule, you must register before using a document delivery service for the first time.

International interlibrary loan:
Books, library items or journal articles that are not available in the Federal Republic of Germany can be ordered via the International Interlibrary Loan Service.

Please contact the service desk. International interlibrary loans are associated with higher costs and longer delivery times.

By completing a cost assumption form, you agree to pay all costs incurred for international interlibrary loans. These vary depending on the lending library and country.

Information for foreign libraries - ILL

The HLB Fulda also awards parts of its stock to foreign libraries or makes photocopiers/reproductions.

For non-European libraries, HLB Fulda accepts IFLA vouchers; for European libraries, items are sent by invoice.

The basic fee for each order is 8.00 euros (= 1 IFLA voucher).
